Training Grants

New Fellows

Take the following steps when appointing a new fellow to a training grant;

  • Have new fellows submit I-9 & W-4 forms along with the appropriate identification (if they are not UW employees already); and
  • Have them complete a Personal Data Form; and
  • Give the the payroll coordinator these forms and ask them to appoint the new employee into the payroll system; and
  • Register post-doctoral fellows for non-matriculated status each quarter if necessary; and
  • Have them sign and complete the following forms: NIH Statement of Appointment and NIH Payback Agreement (for postdoctoral fellows); and
  • Help them get set up with a UW NetID by directing them to https://uwnetid.washington.edu/newid/. They can also sign up for an email account at this site; and
  • Once they have a UW NetID, alert them to the MyUW and Employee Self Service sites; and
  • Direct them to take the new employee online orientation. If they are predoctoral fellows, they take the normal New Employee Orientation. Here they can also sign up for a Benefits Orientation and a Husky Card. They can also register for the mandatory Prevention of Sexual Harassment. If they are postdoctoral fellows, they need to go through Academic Human Resources for their orientation. Postdoctoral fellows must obtain their Husky Card by going in person to the Husky Card Account Office located on the ground floor of Odegaard Undergraduate Library (click here for a map). In order to get an ID card, an employee must know their EID number and show a state or federally issued photo ID. The Husky Card Account Office can be reached at 206-543-7222.
  • Provide them with a trainee manual if applicable; and
  • Provide them with an official letter of acceptance (if they have not been sent one yet); and
  • Set-up the budget to pay for their tuition and prepare a Non-Resident Portion of Tuition (NRD) waiver if necessary; and
  • Project them in the budget; and
  • Advise them on how to enroll in the Graduate Appointee Insurance Program; and
  • Advise them on the human subjects training, IRB approval and IACUC approval if necessary.
